This position supports the finance team by maintaining detailed billing records, resolving account discrepancies, and ensuring adherence to internal controls and customer contract terms. Responsibilities
Key Responsibilities - Oversee daily and monthly invoicing cycles, including invoice generation, distribution, and purchase order (PO) verification.
- Monitor unbilled shipments/orders to ensure prompt billing and revenue capture.
- Conduct thorough pre-invoicing reviews, verifying documentation such as POs, order confirmations, shipping records, and proofs of delivery to support revenue recognition.
- Upload required supporting documentation into accounting systems for compliance and auditing purposes.
- Manage customer vendor portals (e.g., electronic billing platforms) in accordance with client-specific submission rules.
- Generate and distribute regular operational and billing reports to keep department managers and plant/warehouse personnel informed of pending items.
- Address and resolve billing inquiries and complex escalations from internal departments and external clients.
- Provide dynamic support to the broader Accounts Receivable and Cash Applications teams as needed.
- Work independently to prioritize workload and hit critical daily billing deadlines.
- Solid understanding of basic accounting principles and strong quantitative skills.
- Proficiency in ERP accounting software, database tools, and business software (advanced Microsoft Excel and Windows applications).
- Familiarity with internal financial controls and compliance standards (such as SOX).
- Demonstrated ability to manage high-volume invoicing with strong attention to detail.
